CANCELLATION POLICY

Egypt Spiritual Retreat

Dates: 17 October – 28 October, 2026

We understand that unforeseen circumstances can arise, and we aim to make our cancellation policy as fair and transparent as possible. By registering for the Egypt Spiritual Retreat, you agree to the following terms regarding cancellations:

Deposit Policy

• A non-refundable deposit of $888 USD is required to secure your spot at the retreat.

• This deposit is deducted from the total retreat cost.

• Deposits are non-transferable to other individuals, retreats, or events.

• The balance for the Early Bird payment for the retreat must completed by 17 July, 2026.

• The balance of the retreat payment must be completed by 17 September, 2026.

• Failure to complete payment by the deadline may result in forfeiture of your reservation without a refund.

• Transfer Option: We understand that sometimes life brings unexpected changes. If you’re unable to attend, your spot may be transferred to another participant. While the deposit remains non-refundable, the balance you’ve paid can be applied to the new participant. You’re welcome to arrange the transfer directly, or we can help by offering your spot to our waitlist or community.

Cancellation by Participant​

Cancellations Made Before 15 June, 2025: You will receive a refund of payments made, minus the non-refundable deposit.

Cancellations Made Between 16 June, 2025, and 15 August, 2026: You will receive a 50% refund of payments made, minus the non-refundable deposit.

Cancellations Made After 15 August, 2026: No refunds will be issued.

Cancellation by Organizer

In the unlikely event that the retreat must be canceled by the organizers due to circumstances such as low enrolment, safety concerns, or force majeure, participants will be offered:

• A full refund of all payments made, including the deposit.

• The option to transfer payments to a future retreat.

The organizers are not responsible for additional expenses incurred, such as airfare or travel insurance.

Force Majeure

If the retreat is cancelled or rescheduled due to circumstances beyond the organizers' control (e.g., natural disasters, political unrest, pandemics, or government travel restrictions), no refunds will be issued. Depending on the circumstances provided by the venue(s), participants may:

​

• Transfer payments to a rescheduled retreat.

• Receive a credit toward a future retreat.

If the deposits are refunded to the organizer, then the deposits will be refunded, transferred or credited to the participants.

Travel Insurance

• We strongly recommend purchasing travel insurance to cover unforeseen circumstances, including trip cancellations, medical emergencies, and travel delays. It is the participant’s responsibility to secure appropriate coverage. 

• The organizers are not liable for any costs incurred due to a participant’s failure to secure adequate travel insurance.

Changes to Itinerary

• The organizers reserve the right to make changes to the retreat itinerary due to weather, safety concerns, or other unforeseen circumstances. These changes do not qualify participants for refunds.

Pricing Policy

• All retreat prices are based on current exchange rates and are subject to change without prior notice.

• While we make every effort to provide accurate and up-to-date pricing, we reserve the right to adjust the cost of the retreat before full payment has been received.

• In the event of a price adjustment, we will notify participants as soon as possible.

Liability Disclaimer

We do not accept liability for:

• Cancellations, delays, or changes due to events beyond our control, including but not limited to war, terrorist threats, airport closures, industrial action, natural disasters, or staff cancellations.

• Any medical or psychiatric conditions that may develop before, during, or after the retreat.

• Loss, theft, or damage to participants' personal belongings.

Health & Safety Requirements

• It is the participant’s responsibility to disclose any relevant physical or mental health conditions, as well as medications.

• Failure to provide accurate health information may invalidate travel insurance and nullify our contractual obligations to the participant. Refunds will not be permitted.

• To ensure safety, all participants must follow instructions from facilitators and guides. Any deviation from provided instructions is undertaken at the participant’s own risk.

• We are not responsible for injuries resulting from a participant’s failure to adhere to guidance.

• Our retreats are not suitable for individuals who are unable to take full responsibility for their own physical or emotional well-being.

• By signing the Waiver Form, participants confirm that they are medically, physically, and emotionally fit to take part in the retreat.​​​

Refund Process​

Refunds, when applicable, will be processed within 30 days of the cancellation request. Refunds will be issued to the original payment method unless otherwise agreed upon. All refund requests must be submitted in writing to earthandsoulwellness@gmail.com.

Special Considerations

a. Exceptional Circumstances

• In cases of extreme personal hardship (e.g., medical emergencies), participants may submit a request for special consideration. Such requests will be reviewed on a case-by-case basis, and decisions will be made at the sole discretion of the organizers.

b. Late Registrations

• For participants who register after 15 September, 2026, the payment is non-refundable in its entirety.
